Frequently asked questions
Everything you need to know about planning your wedding seating with TableScape.
Getting started
What is TableScape?
TableScape is an easy-to-use online seating plan maker designed to bring your wedding table plan to life. TableScape was created as a visual tool to help couples with one of the best parts of planning your wedding — choosing who sits where! You design your table layout, add your guests, drag and drop guests onto their seats, then TableScape provides you with a print-ready plan for your venue or caterer, all in your web browser with nothing to download or install.
Guests are colour-coded by dietary requirement, so you can see at a glance who needs what. You can also add custom dietaries and custom notes to each guest, so everything your suppliers need to know is in one place.
TableScape is an independent, UK-based product and is ad-free, and has supported couples from over 50 countries worldwide!
How do I make a wedding seating plan online?
With TableScape you can build a complete plan in six steps:
- Start building. Go to tablescape.app and choose Start Building Free. You do not need an account to try it.
- Set up your layout. Choose how many tables you need, whether they are round or long, and how many seats each one has. Add a top table if you want one.
- Add your guests. Add them one at a time with their name, guest type, group, dietary requirement and notes, or import a CSV file on a computer or tablet. TableScape can automatically work with any CSV guest list, but we also have a template CSV available.
- Seat your guests. On a computer or tablet, drag each guest from the guest tray onto a seat. On a phone, tap a seat and choose a guest from the list.
- Fine-tune. Rename and move tables, rearrange guests, and use the colour coding to check dietary requirements at a glance.
- Save and share. Apply different layouts, fonts and branding to your PDF print out and share it with your caterer.
Can I use TableScape on my phone or tablet?
Yes. TableScape runs in your browser on any device with nothing to install. It is designed for tablets and computers, where there is room to arrange a full seating plan, and there is also a streamlined version for phones.
On a phone, the quick-start builder lets you create your layout, add guests manually, and tap any seat to search for a guest and seat them there. Because phone screens are small, tap-to-seat replaces drag and drop. Save your plan to an account and carry on later on a tablet or computer. CSV import is not available on phones.
On a tablet or computer, you get the full builder: drag and drop seating, CSV import, multiple plans (Premium), and the print and share page.
Pricing
Is TableScape free to use?
Yes, TableScape is free to start. You can try the builder without an account, and when you create a free account you get a 7-day trial with full editing access, so you can build and arrange your whole plan.
After the trial, your plan becomes view-only until you unlock it with a one-off payment: Basic at £7.99 or Premium at £11.99. There is no subscription and nothing renews. Whether or not you have paid, you can always view your plan, print it and export your guest list.
Prices are set in pounds sterling. If you are paying from another country, checkout may show the price in your local currency, and the amount shown at checkout is the amount you pay. Full details for payments are in our Terms of Service.
What are the differences between free and paid plans?
TableScape has two paid levels: Basic and Premium. Both paid plans are one-off payments. Basic unlocks editing for your plan; Premium adds multiple plans and customisation of your shared plan.
Premium is designed for couples who want to experiment with different table layouts, and allows you to duplicate and create multiple versions of your plan.
| Basic | Premium | |
|---|---|---|
| Edit your plan | Yes | Yes |
| View your plan | Yes | Yes |
| Print or save as PDF | Yes | Yes |
| Export guest list (CSV) | Yes | Yes |
| Number of plans | 1 | Up to 5 |
| Duplicate a plan | No | Yes |

Customising your shared plan (Premium) allows users to:
- Customise font, alignment and size
- Change the guest list sorting (alphabetical, by seat number, etc)
- Show or hide seat numbers
- Show a section for custom notes
- Remove TableScape branding from the plan
Building your plan
What table layouts does TableScape support?
TableScape supports round tables and long (rectangular) tables, and you can add a top table (or sweetheart table) as well.
- Round tables: seats are spaced evenly around the table.
- Long tables: choose seats on both sides or one side only (useful for a head table facing the room), and optionally add end seats at both ends or at one end.
- Top table or sweetheart table: add one with its own number of seats and also choose whether you want it one sided only and optionally add end seats at both ends or at one end.
You choose the number of tables and seats per table when you set up your layout. After that you can drag tables anywhere on the canvas, rename them, rotate them, and zoom and pan around the room. On a phone, press and hold a table to rename or rotate it.
Users can add tables of different shapes and sizes to their plan, i.e. you can have both round tables and long tables on the same plan.
Can I add dietary requirements or custom tags to my guests?
Yes. Every guest has fields for their dietary requirement, a group label and free-text notes, so you can record everything your venue and caterer need to know.
- Dietary requirement: None, Vegetarian, Pescatarian, Vegan or Other. Choose Other to type the specifics, for example a nut allergy, coeliac or halal.
- Group: a free-text label of your choice, such as “Bride’s family”, “Work friends” or “University”.
- Guest type: Adult, Child or VIP.
- Notes: anything else, such as needs a high chair, wheelchair access, or seat near the door.
Dietary requirements are colour-coded on the seats. Group and Notes are free text, so they are the place for any custom labelling.
Can I import my guests from a CSV file?
Yes, on a computer or tablet. Upload a CSV file and TableScape shows a column-mapping step, so you can tell it which column holds each piece of information.
- Name: a single full-name column, or separate first name and last name columns.
- Guest type (Adult, Child or VIP), group, dietary requirements, dietary details (when dietary requirement = ‘Other’) and custom note.
Common column headings such as “First Name”, “Party” or “Dietary Restrictions” are recognised automatically, and you can change any match before importing. A live preview shows the first five rows as they will be imported.
Dietary entries are tidied into TableScape’s standard categories. Anything that is not vegetarian, pescatarian or vegan is imported as Other, with the detail kept in Notes. Unrecognised guest types are imported as Adult, rows without a name are skipped, and imported guests arrive unseated, ready for you to place. Columns TableScape does not use are ignored.
Can I import my guest list from a spreadsheet or another wedding website?
Yes. Export your guest list as a CSV file and import it into TableScape. The route is the same wherever your list currently lives.
- Excel or Google Sheets: save or download your sheet as a CSV file, then import it. TableScape reads CSV files rather than .xlsx files.
- The Knot, WithJoy, Zola and other wedding websites: download your guest list as a CSV (look for an export or download option in your guest list settings), then use the column-mapping step to match their headings to TableScape’s fields. Exports that split first and last names into separate columns are supported.
Importing is a one-off copy, not a live link, so if your guest list changes on the other site later you will need to update TableScape as well.
Sharing your plan and your data
How does TableScape handle dietary requirements?
Dietary requirements are carried through your whole plan, from the seat on screen to the printed pages your caterer reads, so nothing gets lost along the way.
- On the canvas: each seat’s background shows the dietary requirement (green for vegetarian, lilac for vegan, light blue for pescatarian, amber for other or allergy), and its outline shows the guest type. A key in the builder explains the colours.
- On the printed plan: the floor plan page includes the same colour key, and a dedicated Special Dietary Requirements page shows a summary count of guests for each requirement, followed by every “Other” requirement listed by guest, table and seat. More about printing and sharing.
- Beside guest names (Premium): add small coloured dietary dots next to names on the guests-by-table pages, with a key at the bottom of each page, so venue staff see requirements right on the table list.
- In your CSV export: dietary requirements and notes are included for every guest.
Is my guest list private and secure, and can I delete my data?
Your plans are private to your account. They are not public and there is no public link to them. You can export your data at any time and ask us to delete it whenever you like.
- Privacy: plans are stored in a secure database with row-level security, so other users cannot access your plans.
- Security: the site uses HTTPS, passwords are stored hashed rather than in plain text, and payments are handled by Stripe, so we never see or store your card details.
- Your guests’ details: names and dietary information are used only to provide the service to you. We do not currently share personal data with marketing partners.
- Export: download your guest list as a CSV at any time, even if your plan is locked.
- Deletion: email info@tablescape.app from the address on your account and we will delete your account and associated data within one month. We keep only the basic payment records we are legally required to retain. Accounts inactive for 24 months may be deleted.
